Practice Coordinator – Houston (Hybrid, 4 Days Onsite)

A leading legal team is seeking a highly organized and proactive Practice Coordinator to support the day‑to‑day operations of a busy practice group. This role ensures client projects move smoothly by managing workflows, tracking deadlines, coordinating communication, and keeping attorneys informed and aligned. The ideal candidate thrives in a fast‑paced environment, enjoys structure, and is comfortable following up frequently to keep projects on track.

Key Responsibilities
Project & Workflow Management
•     Monitor the practice group’s shared inbox to identify and triage incoming tasks
•     Assign, track, and follow tasks through completion
•     Build and maintain the group’s project management portfolio (Asana), including project setup, deadlines, milestones, and status updates
•     Proactively follow up with attorneys and staff on deadlines, priorities, and outstanding items
•     Identify bottlenecks and escalate issues to leadership

Communication & Coordination
•     Serve as the central point of contact for project‑related requests
•     Provide attorneys with timely updates, documents, and information
•     Facilitate communication across attorneys, staff, and cross‑functional teams
•     Ensure all client projects are completed accurately and on schedule

Reporting & Analytics
•     Prepare weekly status reports highlighting progress, milestones, workload distribution, risks, and issues
•     Maintain accurate project records and history
•     Provide data‑driven insights to support leadership decision‑making
Administrative & Operational Support
•     Coordinate calendars for major project milestones and internal meetings
•     Support collaboration with other departments, including marketing
•     Assist with onboarding attorneys, staff, and new clients into project workflows and systems
•     Ensure client files, accounts, and billing details are properly established

Qualifications
•     Minimum 2 years of experience in a similar role; law firm or professional services experience required
•     Proficiency with Asana preferred
•     Strong communication and customer service skills
•     Highly organized with exceptional attention to detail
•     Skilled at managing multiple projects in a fast‑paced environment
•     Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
•     Proactive, collaborative, and eager to improve processes
Work Environment
•     Hybrid schedule: 4 days in office, 1 remote
•     Ability to sit for extended periods and lift up to 15 lbs
•     Must be able to navigate the organization’s facilities
